Toyota is redefining the meaning of mobility. We move people, goods, information, and energy, continuously challenging the norms of mobility. Woven City, as a testbed for creating and testing various forms of mobility, aims for the mass production of happiness with the concepts of a people-centric city, a city for demonstration experiments, and an unfinished city.

Woven City brings together diverse individuals who share a vision for future mobility. Inventors, residents, and visitors will conduct demonstrations of various products and services while living in a city-shaped testbed where people, mobility, and social infrastructure are interconnected.

The Administration team oversees general affairs and administration for the entire Woven City Management (WCM) organization. We belong to the Project Governance organization, which handles management functions, and provide operational support to WCM as a whole.

In this position, you will be responsible for improving the work environment and streamlining/standardizing daily operations to enable team members to focus on their work and achieve maximum performance. You will report to the Administration Team Manager and will work in a hybrid model (combination of office and remote work).

🌟 Seeking Talent 🌟

We are looking for an Administration Assistant Manager who will play a central role in operations, including facility management, office improvements, and planning/execution of internal communication events within WCM.

Responsibilities:

  • Oversee daily facility/administration operations to improve the operational efficiency and hospitality of the WCM office.
  • Plan and propose medium-to-long-term facility needs based on company growth and operational requirements.
  • Design and improve general affairs and management operation processes, and develop/maintain guidelines and related documentation.
  • Plan, coordinate, and execute internal staff events (company-wide, departmental, etc.), including venue arrangements, catering, and schedule adjustments, to foster team unity and a positive workplace culture.
  • Monitor and manage the operational budget, ensuring cost efficiency and financial soundness.
  • Build and maintain trusting, positive relationships with all WCM employees, contractors, and supplier representatives.
  • Frequent business trips to Susono City and other locations will be required.

Required Qualifications:

  • Over 5 years of practical experience in facility management, office services, general affairs/administration, or office management.
  • Over 3 years of practical experience in vendor management related to office operations.
  • Ability to manage multiple tasks concurrently and respond flexibly in highly uncertain situations.
  • Experience in maintaining and improving the work environment through communication and negotiation with employees.
  • Proven track record of proactively and continuously addressing complex challenges, leading them to resolution, and identifying opportunities for improvement.
  • Native level Japanese and business-level English proficiency for practical use.

Preferred Qualifications:

  • Hospitality mindset, finding joy in supporting members and the organization.
  • Ability to communicate cheerfully and positively with diverse members and stakeholders.
  • Experience in planning and managing internal and external events.
  • Comfortable using applications such as CAD, Adobe Photoshop, and Adobe Illustrator.
